AFTER SIX MONTHS.
BASIC FUNCTION:
Assist in the management of the day-to-day operations of Enrollment Services. Serve as the responsible Certification Officer of academic eligibility for student-athletes. Responsible for obtaining, evaluating, and documenting the academic credentials for approximately 600 student-athletes in accordance with Institutional, NCAA and Conference eligibility. Collaborate with the Office of Academic Support for Athletics and the Athletic Compliance Office regarding student-athlete academic matters.
As the responsible Certification Officer of academic eligibility, participate in assuring that student-athletes meet all NCAA eligibility requirements as related to enrollment and academic progress towards graduation. Utilize problem solving skills and creative thinking to address NCAA eligibility deficiencies while maintaining adherence to NCAA bylaws and University academic policies. Monitor student registrations, grades, and degree records. Ensure compliance with federal, state and University regulations related to Records and Registration. Assist the Registrar in providing analytical data to the Office and University as needed. Carry out a full range of records and registration related Enrollment Services activities.
Review and certify the NCAA practice and competition academic eligibility for student-athletes each semester.
Certify all student-athletes including midyears, transfers, international students, and graduate students. Monitor eligibility for managers, and practice players.
Assist with initial eligibility for transfer students. Oversee and manage participation data for our Division 1 intercollegiate athletic teams per NCAA bylaw/article 14 Academic Eligibility.
Update student-athlete information in PeopleSoft and the universities compliance software system.
In collaboration with the degree granting colleges, update/create and maintain curriculum bucket sheet templates used in the eligibility review process.
Monitor and report on student records to include incomplete grades, grade changes, full-time enrollment status, added/dropped courses, course withdrawals, and repeated courses.
In conjunction with athletics, ensure that student-athletes academic course schedules are maintained in accordance with University, NCAA, and member conference regulations.
Review preliminary transfer documentation and provide information to the degree granting colleges to determine potential transfer credits.
Update the Transfer Evaluation System (TES) transfer database as needed with transfer credit equivalencies.
Monitor and document changing student-athlete profile information including curriculum, college, major, minor, concentration, etc.
Identify and alert staff of potential eligibility issues and infractions involving student-athletes in collaboration with the Athletic Advising staff, Athletics Compliance Office, and Faculty Athletic
Representative.
Work with the academic colleges to verify degree requirements including credits needed for degree, review individual updates to review worksheets to determine if student-athletes are meeting satisfactory academic progress.
Maintain and update a detailed policies and procedures manual for athletic eligibility review in collaboration with the Senior Associate Director – Records and Registration and Athletic Compliance Office.
Provide annual training sessions for the Degree Granting Colleges and Athletic Advising staff regarding the athletic eligibility review process and criteria.
Maintain accurate NCAA eligibility records and files on each student-athlete.
Attend NCAA seminars, conferences, and trainings as related to student-athlete eligibility. Keep up to date with NCAA rules and regulations regarding eligibility standards.
Perform other duties and assist with projects as assigned.
Develop timely and accurate reports and queries as required. Collaborate with the Chief NCAA Compliance Officer/Deputy Title IX Coordinator regarding APR/GSR reporting.
Work with the Enrollment Services Management Team to establish and maintain excellence in customer service.
Continuously evaluate and assess designated compliance program functions for process improvement. Make recommendations as appropriate.
Work closely with Enrollment Services management team to review and enhance all forms of communications to students, parents, and constituents.
Prepare and deliver oral presentations and training sessions as required.
OTHER DUTIES AND RESPONSIBILITIES:
Represent Enrollment Services at University functions, such as Open House programs, Freshman/Parent Orientation, Welcome Days, and other University meetings and events.
Develop and maintain a liaison with University, State, and Federal agencies and departments which interface with Enrollment Services’ activities. Resolve related problems as they arise.
Serve as a member of the Enrollment Services’ Management Team.
Work evenings and weekends as required.
Perform additional duties as required.
LICENCES, TOOLS AND EQUIPMENT:
Personal computers, printers, Microsoft Office Suite, and enterprise system (i.e., PeopleSoft, Banner, etc.)
1. Bachelor’s degree.
2. Minimum of four years NCAA eligibility experience in college athletics.
3. Demonstrated experience using a university-wide enterprise system, (such as PeopleSoft, Banner, etc.) in the area of athletics eligibility at an institution of higher education.
4. Demonstrated ability to understand, interpret and adhere to NCAA Division 1 Eligibility regulations, policies, procedures, rules, and standards.
5. Demonstrated strong interpersonal and verbal communication skills.
6. Demonstrated proficiency in written communication skills.
7. Demonstrated ability to work collaboratively.
8. Demonstrated presentation skills.
9. Demonstrated supervisory experience.
10. Demonstrated ability to work with minimal supervision.
11. Demonstrated ability to work with diverse groups/populations.
1. Master’s degree.
2. Minimum of four years NCAA eligibility experience in college athletics at a Division 1 institution.
3. Demonstrated experience with PeopleSoft student records systems.
4. Demonstrated ability to create basic queries and reports within an enterprise system;.
5. Demonstrated experience with transfer credits, degree audit and graduation processes.
6. Demonstrated understanding of University academic policies particularly those related to curriculum and graduation processes.
