POSITION OVERVIEW

The Office of Admissionsat John Jay College seeks a qualified professional to serve as theAssociate Director of Application Processingto manage the collection and data entry of student information into CUNYFirstand CUNY’sCRM (Customer Relationship Management) software. He/she will also be responsible for processing all new applicants from the review process through first semester enrollment. This position is also responsible for making sure students submit proof of High School graduation.

Duties include, but are not limited to:

  • Data Management: Manage and monitor data integrity, oversee data entry processes, and utilize data analysis tools to identify trends and improve efficiency.
  • Workflow Oversight: Develop and implement standardized procedures for processing applications, documents, and transactions, ensuring timely completion and accuracy
  • Team Leadership: Supervise a team of processing staff, assign tasks, provide training, and evaluate performance.
  • Compliance Management: Ensure adherence to all relevant CUNY and state regulations regarding student records, admissions, and privacy.
  • Reporting and Analysis: Generate regular reports on processing metrics, identify potential issues, and propose solutions to improve efficiency.
  • Customer Service: Respond to inquiries from students, faculty, and staff regarding processing procedures and resolving issues
  • System Administration: Manage and maintain relevant administrative systems and databases used for processing applications and student data.
  • Application Processing: Import and process all CUNY application review files.
  • Data clean-up: At the end of each enrollment cycle, ensure the data is updated based on the student’s action (enrolled, defer, cancel, etc)
  • Assist with Enrollment Management projects, data, and reports.
  • Coordinate the design and maintenance of Enrollment Management databases.
  • Work with large complex data sets, including exporting/importing from various sources (including CUNYFirst,(Peoplesoft/Oracle, Hobsons Connect, Hobsons Retain), cleaning data files, and maintaining historical records.
  • Assist with the design, production and administration of survey instruments, analyzing quantitative and qualitative data.
  • Prepare and run reports for internal and external constituents.
  • Work with others in the College community to assure high-quality information and reporting.
  • Perform related duties as assigned.
  • Ability to work nights and weekends, when needed

QUALIFICATIONS

Bachelor’s Degree and six years’ related experience required.

PREFERRED QUALIFICATIONS:

  • Five-Six years related experience working with CUNYfirst
  • Experience with Hobsons Connect CRMpreferred.
  • The successful candidate will have excellent written and verbal communication skills, the ability to work both independently and in a team-based environment, and the ability to manage multiple priorities while paying attention to detail.
  • Strong knowledge of Hobson’s, PeopleSoft and Microsoft Excel preferred.
  • Must possess knowledge and understanding of enrollment cycle from inquiry through enrollment.

  • Develops and implements marketing strategies and recruitment initiatives
  • Manages one or more teams of admissions/recruiting staff, providing supervision, training, and development

  • Reviews and analyzes the effectiveness of enrollment, recruitment, and marketing strategies

COMPENSATION AND BENEFITS

$110,641

Salary commensurate with education and experience.

CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 6.09% with additional increases of 3.25% effective 9/1/2025 and 3.5% effective 9/1/26, in accordance with the terms of the PSC-CUNY collective bargaining agreement.
