Assistant to the Executive Director

Position Summary

I’m a fast-paced, Type A leader with a full plate and big responsibilities. My schedule doesn’t slow down, and I need a personal assistant who can keep up—without needing to be micromanaged. This role is perfect for someone who thrives on structure, takes initiative, and knows how to stay three steps ahead.

You’ll be helping manage calendar chaos, keep grant deadlines in check, and make sure I don’t miss anything important. This is a part-time role (10–15 hours per week) with room to grow for the right person.

Key Responsibilities

  • Schedule and confirm appointments, meetings, and occasional travel
  • Manage and update a busy calendar in Microsoft Outlook
  • Organize grant files, track deadlines, and keep due dates top of mind
  • Prepare meeting materials and track follow-up tasks
  • Tidy up inboxes, flag important messages, and help keep communications flowing
  • Maintain confidentiality and represent me professionally in emails and scheduling
  • Stay on top of reminders without being reminded yourself

  • Someone who needs step-by-step instructions for every task
  • Anyone who struggles with multitasking or staying organized
  • A candidate still learning Microsoft 365—you need to hit the ground running

Preferred Experience

  • 2+ years as a personal assistant, executive assistant, or admin coordinator
  • Strong working knowledge of Microsoft 365 (especially Outlook, Word, Excel, and Teams)
  • Experience managing calendars and complex scheduling
  • Familiarity with nonprofit work or grant tracking (bonus, not required)
  • Proven ability to work independently and stay organized in a fast-paced setting
