Position Summary:
The Director of Facilities provides strategic leadership and operational oversight for multiple service lines, including facilities maintenance, landscaping, painting, mail and package delivery, and warehouse operations. This role drives operational excellence through data-driven decision making, regulatory compliance, and continuous quality improvement initiatives. The Director collaborates with the Executive Director of Facilities and senior leadership to enhance efficiency, improve processes, and maintain a safe and functional healthcare environment.
Essential Functions and Responsibilities:
Facilities Maintenance:
- Oversee the maintenance and repair of all managed buildings, equipment, and infrastructure.
- Establish measurable performance metrics for maintenance operations and achieve 95% preventive maintenance compliance
- Ensure full compliance with all applicable safety, health, and regulatory requirements including TJC, CMS, OSHA, and other healthcare-specific regulations
- Lead the development of 1-3-5 year maintenance plans that align with organizational goals and capital planning
- Champion the implementation of Continuous Quality Improvement (CQI) methodologies within the facilities department
- Train and mentor staff in CQI principles and techniques, establishing CQI competencies for all team members
- Manage vendor relationships for facility-related services and contract work.
- Support purchasing and inventory management to ensure adequate supplies for maintenance operations.
- Develop and maintain a dashboard of critical operational KPIs with monthly reporting to leadership
- Respond to and oversee resolution of maintenance or service requests in a timely manner.
- Responsible for collaborating with the Building Automation System and Energy Manager (BASE) to ensure that Facilities Maintenance (FM) staff, under the supervision of the Director of Facilities Maintenance, effectively support daily initiatives aimed at achieving and maintaining ISO 50001 implementation.
- Achieve 90% of maintenance requests resolved within established service level agreements
- Ensures a constant state of training and readiness for emergency situations.
- During emergencies, responsible for managing the emergency operations of the facilities maintenance team and coordinating with the Emergency Operations Center.
- Ensures staff are using the 1CALL Cloud system efficiently and correctly for work orders, projects, and other functions.
- Works with the UHAT Compliance Team to ensure that Joint Commission requirements are being met and ensure that facilities are in a constant state of survey readiness.
- Ensures that staff complete accreditation related inspections, drills, and required preventive maintenance.
Receiving, Mail and Package Delivery, And Attic Stock:
- Supervise receiving and delivery operations to ensure efficiency and accuracy.
- Coordinate with Campus Partners to ensure seamless logistics and distribution.
- Maintain compliance with Joint Commission and Healthcare standards for handling and transporting goods, including medical supplies.
- Support client and tenant relations by maintaining regular communication and ensuring service expectations are met.
- Assist in resolving any service-related concerns or complaints between departments and clients.
- Supervise warehouse staff and ensure efficient receipt, storage, and distribution of supplies.
- Develop and implement mail and package delivery metrics such as obtaining a two hour or less delivery time for all mail and packages.
- Implement inventory management best practices to achieve 98% inventory accuracy
Landscaping, Grounds, and Parking Management:
- Oversees landscaping maintenance and grounds enhancement.
- Develop and implement at least three key metrics for the landscaping team to meet each fiscal year such as completing 95% of all scheduled landscape maintenance.
- Support the development of seasonal maintenance, seasonal color changes, mowing, and spraying of UHAT facilities and grounds.
- Manage relationships with landscaping vendors and ensure grounds are maintained to the highest standards.
- Ensure that all equipment is maintained and in safe and good working order.
- Maintain an emergency preparedness plan for snow and ice removal when conditions warrant with 100% readiness
- Oversee parking lots and structures to ensure cleanliness.
- Coordinate with internal and campus partners for any needed repairs or safety concerns.
Leadership and Administrative Duties:
- Assist in training, developing, and supervising facility operations personnel.
- Enforcement and development of policies and procedures to ensure continuous quality improvement.
- Prepare reports and presentations for senior leadership regarding facility performance, needs, and improvements.
- Manage work schedules, ensuring adequate coverages for all shifts and aligning assignments with staff expertise.
- Ensure clear and effective communication across departments.
- Leads efforts to ensure that the team is invested and are completing Continuous Quality Improvement (CQI) efforts in accordance with the CQI model.
- During emergency events assumes a leadership role of the Emergency Operations Center.
Qualifications – Education and Experience:
- Required: Bachelor’s degree in Facilities Management, Engineering, Business Administration, or equivalent experience.
- Preferred: Master’s degree in Facilities Management, Engineering, Business Administration, or related field.
- Preferred Certifications: Certified Health Care Facility Manager (CHFM), Certified Facility Manager (CFM), Certified Heathcare Constructor (CHC), ISO 50001 Certification
- Minimum of 7-10 years of experience in facilities management, preferably in a healthcare or clinical setting.
- Strong knowledge of building systems, maintenance best practices, and regulatory compliance.
- Demonstrated experience managing multiple service lines simultaneously
- Proven experience implementing and managing continuous quality improvement programs
- Experience with building automation systems, energy management, and environmental sustainability initiatives
- Demonstrated success in budget development and financial management
- Experience with TJC accreditation and regulatory compliance in healthcare environments
Skills, Abilities and Knowledge:
- Comprehensive knowledge of building systems, infrastructure, and maintenance best practices in healthcare settings
- Strong understanding of relevant codes, standards, and regulations (TJC, CMS, OSHA, ADA, NFPA, etc.)
- Advanced knowledge of CQI methodologies and their application in facilities management
- Proficiency with facilities management software, CMMS systems, specifically 1CALL Cloud and CMS Tech
- Strong data analysis skills with the ability to translate data into actionable insights
- Knowledge of project management principles and practices
- Understanding of healthcare operations and clinical environment requirements
